Guidelines for host institutions and organisations

Validating the fellow’s work

Provide a formal platform for the fellow to showcase their work during the fellowship, and regularly assess the quality, relevance and impact of their deliverables against the fellowship’s objectives.

Support and resources

Assign a point of contact or mentor; provide access to the infrastructure needed (labs, libraries, internet, equipment); and connect the fellow with stakeholders, educators or researchers as needed.

Financial arrangements

Agree any compensation or honorarium directly with the fellow and handle all payments to the fellow directly.

Engagement and collaboration

Include fellows in relevant activities such as workshops, seminars and research, and encourage collaboration with faculty and students.

Reporting and evaluation

Facilitate the fellow’s mid-term progress report and final report, give timely feedback and approval, and send the Society a brief validation report on the fellow’s achievements and impact.

Conduct and intellectual property

Make sure fellows follow the ETSY code of conduct and raise any ethical concerns promptly with the Society. Respect fellows’ intellectual property, acknowledge their contributions, and help agree terms if shared intellectual property arises.

Communication with the Society

Keep the Society updated on the fellow’s progress, challenges and needs; tell the Society immediately about any change to the fellowship plan or any ethical concern; and share feedback to improve future fellowships.
